Starting point

A wholesaler of natural and artificial products and accessories struggled to track stock, sales and cash. Information existed, but it was not connected reliably enough to give teams one shared view.

A sale could affect stock without making the resulting cash position easy to understand. Discrepancies required manual checks and management lacked a concise operational view.

Business scope

The project did not attempt to reproduce a generic ERP. It covered the flows actually used:

  • product catalogue;
  • incoming and outgoing stock;
  • sales recording;
  • cash position;
  • movement history;
  • useful management dashboards.

Our approach

Start with movements

Stock and cash were treated as movement histories rather than two numbers to overwrite. This makes the origin of a discrepancy and the related operation traceable.

Connect sales, stock and cash

A validated sale created the expected records in each area. Rules were centralised so that one screen could not apply a different calculation from another.

Operational views

Screens followed daily tasks: record, find, check and correct according to permission. Dashboards summarised activity while preserving access to detail.

Include hosting and run

The application was delivered with its hosting and operating needs. Backup, access and maintenance were part of the service rather than postponed until after launch.

Outcome

The client gained one tool for sales, stock position and cash monitoring. Movements could be reviewed in one application, reducing fragmented searches and making control easier.

We do not publish product volume, turnover or a percentage reduction in discrepancies without permission. The trading name also remains anonymous.

What this illustrates

Tailored software makes sense when the problem lies in connecting a few specific flows rather than lacking a catalogue of features. The right scope is one the team can use and maintain.
